Loading Clinic – Terms & Conditions
These Terms & Conditions apply exclusively to Mobile Horse Loading Clinics provided by
Luomara Grass & Track Livery. By booking a clinic, you confirm that you have read,
understood, and agreed to the following terms.
1. Service Overview
The Loading Clinic is a three‑hour, on‑site training session designed to support horses
who struggle with loading, travelling, or trailer confidence. The session includes
groundwork, confidence‑building exercises, and progressive loading practice using
our or your own trailer.
2. Pricing & Deposits
- Standard fee: £120 for locations within 10 miles of L38 3RD.
- Additional mileage charges apply beyond this radius.
- A £30 non‑refundable deposit is required to secure the booking.
- Your booking is not confirmed until the deposit has been received.
- The remaining balance is due on the day of the session.
3. Horse Limit Per Booking
- One booking covers up to two horses at the same location.
- The total session time remains three hours, shared as appropriate.
- More than two horses require an additional booking.
4. Mandatory Horse Behaviour Profile
A Horse Behaviour Profile must be completed and submitted before the booking can be
approved. This must include accurate information about:
- Behaviour history (loading issues, rearing, kicking, bolting, aggression)
- Handling concerns
- Medical conditions
- Recent sedation or veterinary treatment
- Known triggers or risks
Bookings may be declined or stopped without refund if information is inaccurate or incomplete.
5. Safety Requirements
- A safe, suitable working area must be provided.
- Your trailer must be in safe, usable condition (flooring, ramp, partitions, fittings).
- Horses must be fit, sound, and safe to handle.
- Horses sedated within the last 24 hours cannot be worked with.
- A responsible adult must be present throughout the session.
- Handlers must wear shoes with adequate grip (no sandals, Crocs, flip‑flops, or loose scarves).
6. Behaviour & Suitability
- You must provide honest and accurate information about your horse.
- The provider may stop or decline a session if behaviour becomes unsafe.
- No refund will be issued if a session is stopped due to undisclosed risks or unsafe conditions.
7. Cancellations & Rescheduling
- Cancellations with less than 48 hours’ notice forfeit the deposit.
- Cancellations with more than 48 hours’ notice may transfer the deposit to a new date at the provider’s discretion.
- If the provider must cancel due to illness, weather, or unforeseen circumstances, the deposit will be transferred to a new date.
8. Weather & Ground Conditions
Sessions may be postponed if weather or ground conditions make the environment unsafe.
Safety decisions are made at the provider’s discretion.
9. Liability
Participation in the Loading Clinic is at your own risk. While every effort is made to
ensure safety, horses are unpredictable animals. No liability is accepted for injury,
loss, or damage unless caused by proven negligence.
You are responsible for ensuring your trailer is safe and suitable for use.
10. Photography & Media
- Photos may be taken during sessions for personal use.
- Permission will be requested before any images are used for promotional purposes.
- You may decline media use at any time.
11. Data Protection
Personal information provided during booking is used solely for managing appointments,
safety, and communication. Information is not shared with third parties.
12. Acceptance of Terms
By booking a Loading Clinic, you confirm that you:
- Have read and understood these Terms & Conditions.
- Agree to follow all safety instructions.
- Accept responsibility for providing accurate information.
- Understand the deposit and cancellation policies.
- Acknowledge the inherent risks associated with equine activities.
- Confirm your trailer is safe, suitable, and available for use.
