Meet‑a‑Pony Sessions – Terms & Conditions
These Terms & Conditions apply exclusively to Meet‑a‑Pony sessions provided by
Luomara Grass & Track Livery. By booking a session, you confirm that you have read,
understood, and agreed to the following terms.
1. Session Overview
Meet‑a‑Pony sessions are non‑riding, hands‑on experiences designed to introduce
children to ponies in a calm, natural environment. Activities may include grooming,
handling, leading, and simple pony‑care tasks appropriate to the child’s age and
confidence level.
2. Pricing & Deposits
- Session fee: £15 per child.
- A £10 non‑refundable deposit is required to secure the booking.
- Your booking is not confirmed until the deposit has been received.
- The remaining balance is due on the day of the session.
3. Parent/Guardian Responsibilities
- A parent or legal guardian must remain on‑site at all times.
- You are responsible for supervising your child’s general behaviour.
- You must provide accurate information about allergies, medical needs, or additional support requirements.
4. Clothing & Preparedness
To ensure safety and comfort around ponies:
- Children must wear shoes with adequate grip (no sandals, Crocs, flip‑flops, or loose scarves).
- Clothing must be weather‑appropriate and suitable for outdoor activity.
- Children should be prepared to get messy, muddy, and covered in animal hair.
- If a child arrives without safe footwear or appropriate clothing, the session may be shortened or cancelled for safety, and the deposit will not be refunded.
5. Behaviour & Suitability
- You must provide honest and accurate information about your child’s needs and behaviour.
- The provider may stop or decline a session if behaviour becomes unsafe or information was inaccurate.
- No refund will be issued if a session is stopped due to unsafe behaviour or undisclosed risks.
6. Safety Rules
- All instructions must be followed at all times.
- Children must remain calm and respectful around ponies.
- Running, shouting, or sudden movements around the animals are not permitted.
- Only supervised activities approved by the provider may be carried out.
7. Cancellations & Rescheduling
- Cancellations with less than 48 hours’ notice forfeit the deposit.
- Cancellations with more than 48 hours’ notice may transfer the deposit to a new date at the provider’s discretion.
- If the provider must cancel due to illness, weather, or unforeseen circumstances, the deposit will be transferred to a new date.
8. Weather & Ground Conditions
Sessions may be postponed if weather or ground conditions make the environment unsafe.
Safety decisions are made at the provider’s discretion.
9. Liability
Participation in Meet‑a‑Pony sessions is at your own risk. While every effort is made
to ensure safety, ponies are animals and can behave unpredictably. No liability is
accepted for injury, loss, or damage unless caused by proven negligence.
10. Photography & Media
- Photos may be taken during sessions for personal use.
- Permission will be requested before any images are used for promotional purposes.
- You may decline media use at any time.
11. Data Protection
Personal information provided during booking is used solely for managing appointments,
safety, and communication. Information is not shared with third parties.
12. Acceptance of Terms
By booking a Meet‑a‑Pony session, you confirm that you:
- Have read and understood these Terms & Conditions.
- Agree to follow all safety instructions.
- Accept responsibility for providing accurate information.
- Understand the deposit and cancellation policies.
- Acknowledge the inherent risks associated with equine activities.
